Introduction

Every business transformation begins with a single step—getting your team connected to the platform that will revolutionize how you work. Yet too often, the promise of powerful business systems gets derailed by complicated signup processes, confusing authentication flows, and security barriers that protect nothing while frustrating everyone. Teams abandon promising solutions before they even begin because the entry experience feels more like an obstacle course than an invitation to efficiency.

Proma Getting Started transforms this friction into flow—streamlined registration that gets you building business solutions in minutes, not hours. Multiple authentication options ensure everyone on your team can access the platform their preferred way, while enterprise-grade security protections operate invisibly in the background. It's about removing every barrier between your business needs and the tools to address them, ensuring your focus stays on solving problems rather than navigating systems.

Accessing Proma

Your journey to streamlined business operations begins at the Proma login interface. The clean, focused design eliminates distractions while providing multiple authentication pathways that accommodate different security preferences and organizational requirements.

New users can create accounts through the sign-up flow, while existing users can access their systems through the login interface with their preferred authentication method.

Create your account

Step 1: Go to the sign-in page Visit app.proma.ai. You'll land on the sign-in screen.

Step 2: Click "Create an account" At the bottom of the sign-in screen, click Create an account.

Step 3: Enter your email and create a password Enter your business email address and create a password. As you type, Proma checks your password in real time and shows whether it's Weak, Medium, or Strong. Your password must meet all five requirements before you can sign up:

  • At least 8 characters

  • At least one uppercase character

  • At least one lowercase character

  • At least one number

  • At least one special character

The Sign Up button becomes active only once all five requirements are met.

Step 4: Verify your email Check your inbox for a verification email from Proma and click the confirmation link. If it doesn't arrive within a few minutes, check your spam folder.

Step 5: Set your name and choose how you'll use Proma After verifying, you'll see a "Welcome aboard!" screen. Enter your display name, then choose one of three options:

  • Personal Use — For managing your own tasks and workflows. You'll get a personal workspace with no team setup required.

  • Join an Existing Organization — If your company is already on Proma and someone needs to add you. You'll enter the organization details to join.

  • Create a New Organization — If you're setting Proma up for your team for the first time. This creates your organization and makes you the admin.

If your company is already using Proma, choose Join an Existing Organization and ask your admin to send you an invite. Don't create a new organization by accident — it will set up a separate account disconnected from your team.

Step 6: You're in Once you've chosen your path, you'll land on your Proma Home screen. Your account is ready.

Sign-in methods

Proma supports three ways to sign in. You can switch between them at any time from the login screen.

Email and password The standard method. Enter your email and password to sign in. You can enable two-factor authentication from your profile settings for extra security.

OTP (one-time password) Enter your email address and Proma sends a one-time code to your inbox. No password needed. Useful for shared devices or if you prefer not to manage a password.

Phone number Enter your phone number and Proma sends a verification code by SMS. Useful in regions where phone-based authentication is preferred.

What you see when you first log in

When you sign in, you land on the Home screen. Here's what you're looking at:

  • Left sidebar — Lists your workspaces. This is your main navigation throughout Proma.

  • My Tasks — All tasks assigned to you across every system, in one place.

  • Pinned systems — Systems you've pinned for quick access.

  • Recent systems — The systems you've opened most recently.

  • Search bar — Use ⌘K to search across all your spaces and systems.

  • + Add a Workspace — Creates a new workspace. You'll do this after account setup.

Set up your profile

Click your avatar or name in the bottom-left corner of the screen to open your profile panel. You'll see five options in the left sidebar:

Profile Update your basic account settings:

  • Display name — How your name appears to other team members across all systems.

  • Email address — Your account email. Shown here for reference.

  • Appearance theme — Choose Light, Dark, or System (follows your device setting).

Click Update Profile to save any changes.

My Organizations See all organizations you belong to and your role in each. If you've been invited to multiple organizations, you can switch between them here.

Change password Update your current password. You'll need to enter your existing password before setting a new one.

Manage invitations View any pending invitations to join other organizations. Accept or decline from here.

Logout Signs you out of your current session.

Common Mistakes to Avoid

Registration Mistakes

Using Personal Email for Business Accounts

Registering with personal email addresses for business use creates problems when employees leave or change roles. Use business email addresses that remain accessible to appropriate organizational contacts.

Weak Password Selection

Choosing passwords that meet minimum requirements but remain easily guessable creates false security. Use genuinely strong passwords or rely on OTP authentication if password management becomes burdensome.

Authentication Mistakes

Sharing Authentication Details

Providing account credentials to team members seems convenient but creates security vulnerabilities and audit trail problems. Create separate accounts for each user requiring access.

Ignoring Security Notifications

Dismissing security alerts about unusual login attempts or security setting changes can indicate account compromise. Take security notifications seriously and investigate unexpected activity.

Account Management Mistakes

Using Shared Devices Carelessly

Remaining logged in on shared or public devices creates unauthorized access opportunities. Always log out completely when using devices others can access.

Neglecting Permission Reviews

Failing to review and update account permissions as roles change can create inappropriate access to sensitive information. Regularly audit account access and update permissions appropriately.

Troubleshooting

Verification email didn't arrive Check your spam or junk folder first. If it's not there, go back to the sign-up page and request a new verification email. Make sure you entered your email address correctly.

OTP code isn't working OTP codes expire after a few minutes. If yours has expired, request a new one from the sign-in screen. Make sure you're entering the most recently sent code — older codes become invalid once a new one is sent.

SMS code not arriving Check that your phone number is entered in the correct international format (e.g. +1 for the US). If you're still not receiving codes, use email/password or OTP sign-in as an alternative.

Can't sign in after multiple attempts Proma locks accounts temporarily after several failed login attempts as a security measure. Wait a few minutes and try again. If you're still locked out, contact support at support@proma.ai.

Forgot your password Click Forgot password? on the sign-in screen and enter your email address. You'll receive a reset link in your inbox
